The questions buyers ask most often about suppliers, documents, samples, testing, and orders. If your question is not here, send it — a useful answer may become the next entry.
Direct answer
Every catalog extract starts at 1 kg. Samples are typically 100–500 g and dispatch in 3–5 business days after the specification is agreed. Every lot ships with a batch COA, TDS, SDS, allergen and GMO statements, and an origin record.
Working with us
How we operate
Are you a manufacturer or a trading company?
We manufacture botanical extracts in Xi'an, China. Extraction, concentration, drying, milling, blending, and packing are carried out under our quality system. We are not a trading company relabeling another factory's drums, and we can discuss the process and the specification with the people who run it.
Where are you based, and which markets do you serve?
Our facility and office are in Xi'an, Shaanxi, China. We supply supplement brands, contract manufacturers, food and beverage companies, and cosmetic formulators worldwide. Specific market requirements are confirmed before quotation because documentation and limits differ by destination.
How quickly do you respond to an inquiry?
We aim to respond within one business day. A useful first reply depends on having the botanical, target specification, quantity, application, and destination market; if you only have a competitor COA, send that and we will work from it.
Can you sign an NDA before we share a formula?
Yes. We can sign a mutual NDA before technical files, formulas, or proprietary blend information are exchanged. We do not reuse a customer's proprietary blend for another buyer.
Do you work with small brands and first orders?
Yes. Every catalog extract starts at 1 kg. A first order should qualify the material rather than fill a warehouse, so we usually recommend a sample and a modest first lot before scaling.
Can we audit your facility or review your quality system?
Customer documentation reviews are welcome. Facility audits can be discussed with notice; the scope and timing depend on the facility, the certification, and the current production schedule. We will confirm what can be supported before you book travel.
Specifications & documents
What is in the file
Can you match a specification from our current supplier?
Yes. Send the current specification, a recent COA, or a sample of the reference material. We will confirm whether the plant part, marker range, method, carrier, and particle size can be matched, and quote against a written counter-specification.
What documents are supplied with each batch?
Every shipment includes a batch-specific COA, technical data sheet, SDS, allergen and GMO statements, and an origin record. Third-party heavy-metal, pesticide, or microbiological reports can be arranged, as can Halal, Kosher, or organic certificates where the grade and facility are covered.
Is the COA batch-specific?
Yes. The COA reports the manufacturing lot, the specification version, the methods, and the results for that lot. A product-level TDS is separate and is not lot-specific. If a supplier sends the same COA for every order, the document is not doing its job.
Can you provide Halal, Kosher, or organic certificates?
Halal and organic certificates are available where the grade and facility are covered; organic shipments also require a transaction certificate for the lot. Kosher availability is confirmed per grade. We do not imply that every product carries every certificate, and the certificate scope is checked at quotation.
Are your extracts non-GMO?
We provide a GMO statement per batch. Some carriers, such as maltodextrin, may be maize-derived, so the statement must be checked against the exact grade rather than the product category. If non-GMO is a label requirement, state it in the specification.
Do your extracts contain carriers?
Some grades do. Carriers such as maltodextrin or gum arabic are used to standardize, improve flow, or support spray drying. The carrier is declared on the TDS and specification, and carrier-free or alternative-carrier options can be quoted where the process allows.
Can you customize mesh size, solubility, ratio, or marker range?
Yes, within process feasibility. We can adjust the extract ratio, standardize to a different marker range, change the carrier, granulate for flow, or mill to a finer mesh. Custom work starts with a feasibility review of the herb and the target specification.
What is the shelf life of your extracts?
Shelf life depends on the grade, carrier, packaging, and storage conditions. Most extracts are typically assigned a 2–3 year retest or expiry period when kept sealed in a dry, cool place. The exact period and storage conditions are stated on the TDS and COA.
How do you handle a specification change?
Changes are documented and agreed before the next production run. We do not silently substitute a plant part, carrier, or marker method. The revised specification and TDS are issued with a new revision, and the change is confirmed in writing with the buyer.
Can I download a sample COA or specification before ordering?
Yes. The download center includes a specimen COA, a specimen TDS, a supplier qualification checklist, and an RFQ template. They show the document format; they are clearly marked as specimens and are not batch records.
Samples & orders
From sample to shipment
What is your minimum order quantity?
Every catalog extract starts at 1 kg, packed in a 1 kg foil pouch with a food-grade liner. Bulk drums are available as quantities scale, including 25 kg fiber drums for larger orders. Custom extraction runs are quoted individually because the minimum is driven by the herb lot and processing steps.
How do samples work?
Samples are typically 100–500 g and are dispatched with their own COA once the specification is agreed, usually within 3–5 business days. Sample and freight costs depend on the grade and destination; we confirm the policy before dispatch.
What is the lead time?
Catalog grades typically ship in 1–7 days after specification and order confirmation. Custom grades take longer because analytical release is part of the run. Transit and customs clearance are additional, and the exact date is confirmed in the quotation.
Which Incoterms do you use?
We quote EXW, FOB, CIF, or DDP depending on the destination and the buyer's preference. The Incoterm should be agreed before the price is finalized because it allocates freight, insurance, and customs responsibility differently.
What are your payment terms?
Payment terms are confirmed in the quotation. First orders commonly use a deposit with the balance before shipment, and repeat-order terms can be discussed. We do not publish fixed terms that may not apply to a specific grade or destination.
Do you offer private label packing?
We can pack bulk extracts into printed pouches, jars, or cartons for ingredient-brand and distributor programs. Label content and claims remain the buyer's responsibility, and we review artwork against the specification we can document.
Quality & compliance
Quality, claims, and failures
Do you test heavy metals, pesticides, and microbiology?
Yes, against the panel agreed in the specification. Heavy metals are tested individually by ICP-MS, microbiology covers the standard release parameters, and pesticide multi-residue panels are matched to the herb and destination. We can also arrange independent third-party testing.
What happens if a batch fails the specification?
A lot that does not meet the agreed specification is not shipped as if it did. Depending on the failure, it may be reworked, reblended, rejected, or held for investigation. The buyer is informed, and replacement, credit, or cancellation is agreed in writing.
Do you have FDA approval?
No. FDA does not approve dietary supplements or botanical ingredients. Dietary supplements are regulated as a category of food, and the brand is responsible for safety, labeling, and claims. We provide specifications, COAs, and documentation to support your own compliance review.
Are your botanicals organic?
Some grades can be supplied with organic certification where the facility and supply chain are covered. Organic status is product- and lot-specific and requires a transaction certificate; it is not implied by the botanical name. Ask for the certificate and scope for the grade you need.
Can you arrange third-party testing?
Yes. Independent testing is available and recommended for a new supplier, a new botanical, or a high-value grade where authenticity is a concern. Reports are issued against the batch by an accredited laboratory.
How do you handle complaints and deviations?
Complaints are investigated against the retained sample and the batch record. We document the root cause and the corrective action, and agree the commercial resolution with the buyer. The timeline and the level of detail are confirmed when the complaint is opened.
